Our Events:
By participating in any event organised and hosted by Ultimate Bar Crawl, you the participant, agree to the following:
1. All participants are responsible for their own safety and well-being during the event. Ultimate Bar Crawl will do its best to ensure that participants safely attend a variety of localities and venues within London. However, Ultimate Bar Crawl events cannot mitigate every eventuality and as such, Ultimate Bar Crawl events involve an element of possible risk. All participants acknowledge these risks and attend events of their own accord and solely at their own risk.
2. Ultimate Bar Crawl events include opportunities for participants to consume alcohol at their own discretion. Ultimate Bar Crawl urges all participants to drink responsibly and cannot accept any responsibility or liability if participants drink excessively, resulting in damages, ill health, injury or death.
3. All participants should be aware of their own physical or mental limitations before attending an event. People with medical conditions or who are pregnant are strongly advised not to participate in Ultimate Bar Crawl events and must inform Ultimate Bar Crawl of the full nature of their condition before participating.
4. All Ultimate Bar Crawl participants must be 18 years or older. Only official, photo identification will be accepted as proof of age and includes passports, driver licences, national identity cards. Unacceptable identification includes photocopies, student cards and other non-government issued identification.
5. All tickets must be purchased before you may participate in Ultimate Bar Crawl events. Tickets purchased from distributors (hostels, accommodation providers, online sales, etc) will be redeemed for a wristband at the starting venue.
6. Tickets purchased directly through Ultimate Bar Crawl and through other distributors are non-refundable, though may be changed to an alternative date or used as credit with Ultimate Bar Crawl, so long you contact the relevant distributor before the start time & date of your booking. Tickets may be refunded only at Ultimate Bar Crawl’s discretion.
7. Ultimate Bar Crawl reserves the right to cancel a tour at our discretion and for any reason (including crawls will not operate under the minimum of 10 bookings) . In the event of a cancellation, Ultimate Bar Crawl will try to contact distributors and clients as quickly as possible and will refund or replace tickets where appropriate.
8. Ultimate Bar Crawl reserves the right to change or modify tours without notice, including changing or altering venues and routes. In the event of a change, Ultimate Bar Crawl will endeavour to substitute comparable venues, but accepts no liability for changes.
9. Ultimate Bar Crawl accepts no liability for participant’s behaviour and reserves the right to refuse entry or remove from events anyone who is drunk, disorderly, aggressive, abusive or anti-social. In the event of refusal or removal, Ultimate Bar Crawl will not refund ticket prices or cover any additional costs incurred by participants as a result.
10. The participant agrees to indemnify Ultimate Bar Crawl (it’s employees, directors, suppliers, agents, distributors, representatives, etc) against any third party claims as a result of the participant’s behaviour and actions. Any damages or loss caused by a participant is solely the participant’s responsibility.
11. All venues (including bars and clubs), attended by Ultimate Bar Crawl reserve the right to refuse entry or remove participants from venues for any reason including drunk, disorderly, aggressive, abusive or anti-social behaviour. Ultimate Bar Crawl accepts no liability in the event of refusal or removal and will not refund ticket prices in such an event.
12. Ultimate Bar Crawl does not accept bookings for single sex groups of 10 or more, without express written permission given beforehand. Please email colin@ultimatebarcrawl.com to enquire about this.

What information do we collect about you?
We collect personal information in the form of your appearance, voice and distinguishing features through recording video and photoshoots ('Image data'), and we may also ask to collect identifiable data to allow us to track you in our systems, such as your name and contact details.
How will we use the information about you?
We use your video and/or photographs in our marketing materials related to the promotion of Ultimate Bar Crawl. Photographs and video may be published online, in print, used in promotional materials at events or in advertising and broadcast. We may share personal information with partner organisations where they are using data for compatible purposes. We may use your personal details to personalise footage/photos we take of you but we'll only include this if you agree to it. Otherwise we will only use your details to identify you within our system to help us ensure your right to erasure.
How long do we keep your data for?
Image data may be retained in perpetuity as historical and archival records of the Ultimate Bar Crawl Where image data is determined to be not appropriate for these purposes, it will be securely destroyed.
Who we share your data with
Internal recipients
Ultimate Bar Crawl may share your personal data between colleagues and departments who legitimately need access to that information in order to carry out their normal duties to pursue our legitimate interest.
External recipients
Ultimate Bar Crawl may share your personal data between colleagues and departments who legitimately need access to that information in order to carry out their normal duties to pursue our legitimate interest. We may use third-party companies to collect and process data, including professional photographers, videographers, design agencies and printing and broadcast services. We may also share data with third parties where they use the data for purposes compatible with the purposes for which the information was originally collected, for example promotion.
A full list of these third parties is available from External Relations upon request, and all third parties must sign a data agreement with us before being allowed to process data ensuring that they treat your data with care. Sometimes we may wish to pass on photographs and video to the press for wider publication in stories relating to the Ultimate Bar Craw.
Legal basis for processing your personal data under the UK GDPR
Under the GDPR we must establish a legal basis for processing your personal data and let you know what this is. It is in the Company’s legitimate interest to process your personal data for the above purposes.
